How to Respond to a Missed Call by Text: Business Templates

Choosing a call-handling approach
A telephone answering service handles a conversation on your behalf. Voicemail records a message for later. Transcription and text back can make follow-up easier, but they don’t automatically provide the same service as a receptionist.
| Approach | What happens | What you still need |
|---|---|---|
| Live answering | A person takes the call using an agreed process. | A clear brief, an escalation route and someone responsible for the next action. |
| Voicemail | The caller can leave a recorded message. | A useful greeting and time to listen and call back. |
| Voicemail transcription | The recording is also available as text. | Checks on important details and a callback queue. |
| Missed-call text back | An unanswered call can trigger a text reply. | Rules for triggering messages and an inbox someone monitors. |
If callers need to speak to someone at the point of enquiry, a live service may suit the business better than asking everyone to leave a message. That can matter when you have several people working on enquiries or need calls routed according to availability.
As a concrete example, The Answer Centre describes a trades-focused answering service with options for passing calls through. That illustrates why you should ask a supplier what its people actually do during the call rather than comparing everything under the label “call handling”.
Ask which hours are covered, which questions can be answered, when a call is transferred and how your instructions are kept up to date. Those details are more useful than an unsupported promise that no enquiry will ever be lost.
A sole trader may prefer to review messages at natural breaks in the day. A clear voicemail greeting can ask for a name, number, postcode and short description of the job. Transcription makes messages easier to scan when listening is inconvenient.
For example, Vonage documents voicemail transcription for its UK business service. Features and delivery methods vary, so check your own supplier rather than assuming every mobile or business phone plan includes the same capability.
A transcript is still a record to review, not a confirmed booking or a diagnosis. Check names, numbers and important job details with the customer.
Text back can acknowledge an unanswered call and ask the caller to continue in writing. It may help when people prefer to send a short job description. It doesn’t guarantee the customer can receive the message, will reply or will book the work.
Our missed-call text-back guide covers repeat callers, message delivery and reply handling. If you’re starting manually, try the business callback message templates first.
The right choice depends on the conversation your customers need and the work your team can realistically do afterwards.
