Missed Call Cost Calculator for Small Businesses
A missed call is not automatically a lost job. Use your own assumptions to explore what better follow-up might be worth, then compare the estimate with the cost and effort of handling those enquiries.
Try your own figures
Start with genuine job enquiries you currently miss in a typical month, excluding spam, supplier calls and messages already dealt with elsewhere. All fields start blank; the tool does not assume a return for your business.
The calculation is deliberately simple
Use contribution after the direct costs of doing the extra work, rather than the full invoice value. Include the additional service, call usage and staff time costs you want to compare. Keep VAT treatment consistent across your inputs.
The contact rate means the extra enquiries you expect to reach because of the improved process. Do not count calls you already return successfully as a new benefit.
A worked example, not an industry average
Suppose a business misses 20 genuine enquiries a month and expects the new process to reach an extra 25% of them. If 20% of those conversations become jobs, that is one expected extra job. At £80 contribution per job and £50 added monthly cost, the estimate is £30 after that added cost.
Those figures are made up to explain the maths. They are not MMD customer results, a typical conversion rate or a service price. Your capacity to do the work matters too: another enquiry has limited value if you cannot take the job.
Try a less optimistic case
Reduce the extra contact rate or the job conversion rate and compare the result. Increase the time or usage cost if the workflow needs more staff attention. If the estimate only works under optimistic assumptions, start with a smaller pilot and measure what actually happens.
Fractional expected jobs are useful for averages across several months; they do not mean a fraction of a real booking will occur. A quiet month can look very different from the estimate.
Measure the process before calling it a return
Track enquiries received, customers reached, quotes, jobs and actual contribution. Keep existing customers and unrelated calls distinguishable from new work. The free tracker helps record outcomes without treating every transcript as revenue.
For service options, see MMD pricing and the answering-service comparison. CRM connections and specific workflows are scoped around the client.
