From missed call to agreed next step
A simple first reply “Hi, it’s [name] from [business]. Sorry I missed your call. Please reply with a short description of the job and your postcode, or let me know a convenient time to call you back. Thanks.”
Replace the brackets before sending. Use this for routine enquiry follow-up; it does not assess a fault or confirm an appointment.
The callback process: record the enquiry, respond and track the outcome.
Make it work with your current tools
A notebook or spreadsheet can hold a callback queue. You don’t need new software to use this checklist. For wording you can adapt, read our missed-call text templates.
If you’re considering automation, test repeat callers, voicemail and failed messages first. Call providers can distinguish different outcomes: see Twilio’s call-routing documentation and our text-back setup checks. An unanswered call should not trigger an untested promise to a customer.
