Quote Follow-Up Templates for Tradespeople: Text, Email and Phone
A useful quote follow-up makes it easy for the customer to respond. Mention the job, offer a clear next step and leave room for them to say their plans have changed.
Check the quote before chasing it
Confirm that the quote was sent to the right person, that its attachments open and that the customer has had the time you agreed to review it. Check whether anyone else in the business has already spoken to them. A second chase after a customer has accepted or declined makes the team look disconnected.
There is no single best number of days for every trade. Use an agreed review date where you have one. For a larger job, a customer may need time to compare scope or arrange access; for a small repair, a short clarification may be enough.
A short quote follow-up text
Replace the brackets and check the job description before sending. If the quote has a genuine expiry date, state it plainly. Avoid adding artificial deadlines or suggesting a booking has been held when it has not.
An email when the details need more space
Link or reattach the correct version of the quote. If the scope has changed, agree a revised quote rather than quietly changing a price in a follow-up message. Keep the customer’s reply attached to the same enquiry so the next person has the context.
A phone opener that gives the customer room
Listen before discussing availability. “I need to speak to my landlord” is a different next step from “I’ve chosen another contractor”. Record the reason and agree a date if another call is useful. If nobody answers, use a brief voicemail or a single appropriate message rather than repeated calls across several channels.
A final check before closing the enquiry
Closing a follow-up does not have to delete the quote or customer history. Record the outcome and stop the chase. Do not turn a quote conversation into an unrelated marketing sequence without checking the applicable rules and preferences.
Give each quote one next action
Track the quote reference, owner, last contact, promised next contact and outcome. Jobber documents native quote follow-up automations; if your software already handles a reminder, account for it before adding another. We build follow-up around your existing CRM or job-management process, including stopping rules when a customer replies.
