Quote Preparation Checklist for UK Tradespeople
Before you prepare a quote, make sure the business information is usable: who wants the work, where it is, what they have asked for and what still needs checking. A short pre-quote checklist helps you decide whether you can prepare a proposal or need another conversation first.
Start with the request, not a blank quote
Keep the original enquiry linked to one job reference. Summarise the requested outcome in plain language, then record the questions that remain open. “Bathroom work” is difficult to act on; a note explaining what the customer wants changed, at which property and who will answer questions is a better starting point.
This checklist is for preparing the information. The person responsible for the trade work still assesses what is appropriate and what needs inspecting. A customer description or photograph is not confirmation of a diagnosis, price or booking.
If the request has only just arrived, first use the enquiry information checklist. The next step here is deciding whether the record is ready for someone to prepare the quote.
The pre-quote checklist
| Check | Record clearly |
|---|---|
| Customer and organisation | Who requested the work and who should receive the proposal. |
| Property | Job address and property reference, separate from the billing contact. |
| Scope | The customer's requested outcome and the work being considered. |
| Unknowns | Questions, information or a visit needed before the proposal can be prepared. |
| Decision maker | Who can approve the proposal and who is only arranging access. |
| Timing | Requested dates and constraints, distinguished from dates you have confirmed. |
| Responsibility | Who prepares the quote, who reviews it and the next action/date. |
Record “not yet confirmed” where appropriate. Guessing a missing detail can create an apparent agreement that neither party intended. For access arrangements, use your normal secure process; do not put alarm codes or unnecessary personal details in a widely shared worksheet.
Ask one organised follow-up question
If several details are missing, send one short message through the customer's agreed channel rather than a sequence of disconnected requests. State what you already understand, list the missing business information and explain the next step.
Adapt this to the actual job. Avoid asking the customer for specialist judgements they cannot reasonably provide. Route those questions to the person assessing the work.
Use a simple ready-or-waiting decision
At the end of the check, choose one next action: ready for quote preparation, awaiting customer information, or awaiting a review/visit. Give that action an owner and a date to check it. “Waiting” without a named next step is easy to overlook.
For an illustrative example, a letting agent requests work but supplies a head-office address only. Keep the request, ask for the property reference and approval contact, and leave it awaiting information. Do not silently use the head-office address as the job address. The point is to correct the business record before another person builds a quote from it.
Use the records you already have
Your existing job system may already carry enquiry details into a quote. Tradify, for example, documents a Copy To Quote action and selecting an existing customer. Check that route before copying the same information into a separate document.
A checklist can live in a job note, a spreadsheet or your current software. Keep one authoritative version. NAPIT's consumer checklist also emphasises a detailed written proposal; gathering the information here supports that later step without replacing the professional review.

The blank worksheet is editable in a spreadsheet. Add a link to the main job record rather than making a second customer database. Use the notes column to identify missing information and its next action.
Once a quote is actually sent, use the separate quote follow-up templates to plan the next conversation.
