Getting Started with MMD Tracker: Customers, Enquiries & Jobs
MMD Tracker keeps customer details, enquiries and job progress in one small workspace. This guide walks through a first enquiry, from adding the customer to recording the next action. It is designed for an owner who wants a simple working list.
1. Create and verify your account
Open Create an account, enter your business name and email, and choose a password. Follow the verification email. Check your junk folder if it does not arrive; the verification screen lets you request another email.
Creating an account does not start a paid subscription. After verification, the billing screen shows the £19 per business/month plan. Review the payment details in Stripe before subscribing. Customer and job screens require an active subscription. The current plan has one owner login; separate staff logins are not included.
2. Add a customer with the details you have
Choose Customers → Add customer. A name is required. Email and phone are optional, but useful when you need to reply. Open Address & notes for an address or extra context. Save the customer before adding their first job.
Keep notes practical: access instructions agreed with the customer, the work requested or a preferred contact method. Avoid storing passwords, payment-card information or unnecessary sensitive details. A customer address and a job address can differ, for example when a landlord has several properties.
Already have a spreadsheet? Use the CSV import guide instead of typing every record again.
3. Record an enquiry or job
From the saved customer's job history, choose Add job. Their name and saved address are prefilled. Alternatively, choose Jobs → Add enquiry or job and select an existing customer.
Give the work a recognisable title, such as “Kitchen tap repair — Canton”. Choose the stage that reflects what has actually happened:
| Stage | Use it when |
|---|---|
| New enquiry | A request has arrived and needs assessing. |
| Visit booked | You have agreed a visit with the customer. |
| Quote sent | You have sent a quote using your existing quoting process. |
| Accepted | The customer has accepted the proposed work. |
| Complete | The job is finished. |
The stage is a record you update manually. Choosing Visit booked does not create a calendar appointment; choosing Quote sent does not generate or email a quotation.
4. Give the work a next action
Use a specific action, such as “Call to agree a survey time” or “Check whether the customer received the quote”. Add a follow-up date if needed. Open work due today or earlier appears in the Overview follow-up list.
The follow-up date is a prompt inside the tracker. It is not a booked visit time, and the tracker does not send automatic customer messages or email reminders. Check your overview during your normal working day.
5. Keep a short daily routine
- Open Overview and check due follow-ups.
- Review New enquiries for requests that still need an answer.
- After a call, update the next action and date.
- Move the stage only when the work has progressed.
- Mark finished jobs Complete so they leave the open-work list.
Illustrative example: a customer asks about extra sockets. Add the enquiry, set the next action to “Call to arrange site visit”, and choose a follow-up date. When a visit is agreed, change the stage and keep the appointment in your normal calendar. No customer outcome or time saving is implied by this example.
What to keep in your existing tools
Continue using your existing software for formal quotes, invoices, accounting, certification, appointment calendars and file storage. MMD Tracker currently stores text customer/job records; it does not include photo attachments, shared team scheduling or automatic WhatsApp, email or callback capture. The callback service is separate.
If those wider features are essential, assess a fuller trade job-management system before migrating. You can read our CRM and job-management comparison guide.
Returning to your records
Use Log in on the main website. If you forget your password, follow the reset link on the login screen. Settings holds business details, billing and the full records download. For help, email support@mmd-solutions.co.uk; never send your password or payment-card details.
