How to Export Customer and Job Records from MMD Tracker
You can download the customer and job records in your workspace as CSV files. Use separate exports for a working spreadsheet, or download both together from Settings. Exports remain available after your subscription ends once your email is verified.
Choose the download you need
- Customers → Export CSV: downloads the complete customer list for your workspace.
- Jobs → Export CSV: downloads all your workspace jobs, including completed jobs.
- Settings & billing → Download all records (ZIP): downloads customers.csv and jobs.csv in one ZIP file.
Exports contain the full list, even if you have searched or filtered the screen first. They do not export only the visible page or matching search results. Open the downloaded CSV in your spreadsheet software, or extract the ZIP first to access its two files.
What is included?
| File | Columns |
|---|---|
| customers.csv | id, name, email, phone, address, notes |
| jobs.csv | id, customer_id, customer_name, customer_email, title, stage, address, notes, next_action, due_date |
Customer IDs link the files within this export; customer names and emails make the job file easier to read. Dates use YYYY-MM-DD. Stage values are new, visit, quote, accepted or complete. Empty optional values remain blank.
These downloads are record exports, not a full technical backup of your account. They do not contain passwords, payment-card details, Stripe invoices, email verification links or subscription configuration. Created/updated timestamps are not included. The tracker does not currently store attachments.
Keep phone numbers and text intact
The files use UTF-8 with a byte-order mark to help spreadsheet software recognise characters. When importing a CSV into your spreadsheet, set phone numbers and record IDs to text if you need their original formatting. Opening a CSV directly can cause a spreadsheet to remove leading zeros or interpret values as dates.
For spreadsheet safety, exported values starting with characters such as =, +, - or @ may receive a leading apostrophe. This helps stop spreadsheet software treating text as a formula. A number beginning +44 may therefore have a protective apostrophe in the raw CSV. Check how your destination tool displays it before using the file.
The export is designed for inspection and migration. It is not guaranteed to round-trip byte for byte, and other CRM tools may require renamed columns or their own templates.
Exporting after cancellation
Log in and open Settings to download the full ZIP after your subscription ends. Your email must be verified. Normal customer/job editing requires active access, but the export remains available.
Cancelling a renewal and deleting records are different actions. Downloading a CSV does not cancel billing or delete your workspace. To manage your tracker subscription, use its signed-in Billing screen and the Stripe portal opened from there. For questions about record deletion or retention, read the tracker privacy notice or email support@mmd-solutions.co.uk.
Moving to another system
- Keep an untouched copy of the export.
- Check the destination's import format and required fields.
- Match customers before importing their jobs.
- Test a small batch, including names, UK phone numbers and notes.
- Check record counts and a selection of actual records before retiring the old process.
If you are importing into MMD Tracker, use the customer and job import guide. MMD imports add records and skip matching duplicates; they do not update existing records, preserve source IDs or provide ongoing synchronisation.
Look after the downloaded copy
A customer export can contain contact details, addresses and job notes. Save it somewhere appropriate for your business, restrict access and avoid forwarding whole databases when a small example would do. Do not upload real customer records to public forums when asking for help.
If a download looks incomplete, check you are in the correct workspace and that the spreadsheet has not applied a filter. Email support with a description of the issue; start without attaching the customer database.
