How to Import Customers and Jobs into MMD Tracker

You can import customers and jobs from a CSV spreadsheet without entering each record by hand. Start with a small, checked file. MMD Tracker validates the whole file and shows a preview before you confirm the import.

Before you import

Keep a copy of the original spreadsheet. Importing adds records; it does not update, merge or delete existing records. This is a way to move checked records into the tracker, not a live connection to another CRM.

Use Customers → Import CSV or Jobs → Import CSV while logged in with an active subscription. Download the template there, or use the public templates below. Use the stated column names; other software's export may need editing first.

Each file can contain up to 500 records and 512 KB. Split a larger list into smaller files. Save as CSV UTF-8 with commas as the separator, not an Excel workbook or a semicolon-separated file. Optional columns can be omitted.

Import customers first

Customer template columns
ColumnWhat to enter
nameRequired. Person or business name, up to 120 characters.
emailOptional valid email address.
phoneOptional phone number, up to 40 characters.
addressOptional customer address, up to 1,000 characters.
notesOptional relevant context, up to 5,000 characters.

Set phone columns to text before entering numbers. Spreadsheet software can drop the leading zero from a UK number; the tracker cannot restore digits that are already missing from the CSV. Check the exported file before uploading.

A matching name, email and phone combination is treated as a duplicate and skipped. Names and emails are compared without case differences; phone formatting is not automatically standardised. Existing records keep their current address and notes. If details have changed, edit the saved customer rather than importing a revised row as an update.

Then import jobs

The required columns are customer_name and title. The customer must already exist in your workspace. If names are duplicated, include customer_email so the row matches exactly one customer. If the combination is still ambiguous, resolve the customer records before importing.

Other job template columns
ColumnFormat
stagenew, visit, quote, accepted or complete. Blank means new enquiry.
addressJob address, up to 1,000 characters. A blank imported address stays blank.
notesJob notes, up to 10,000 characters.
next_actionThe next step, up to 240 characters.
due_dateOptional follow-up date as YYYY-MM-DD, for example 2026-11-02.

Write job titles in plain language, up to 160 characters. The five full stage labels shown in the tracker are also accepted. An exactly matching job is skipped, comparing customer, title, stage, address, notes, next action and date. A changed stage or note can make a row a new record: do not use repeated imports to synchronise changes.

Preview, check and confirm

  1. Choose the matching customer or job import screen.
  2. Select your CSV file and choose Preview import.
  3. Check the number to add, the duplicate count and the first five input rows shown.
  4. If any row has an error, correct the file and upload it again. Nothing is saved until the whole file validates.
  5. Choose Confirm import when ready. Check the resulting customer or job list.

The preview expires after 15 minutes. If it expires, upload the file again. The displayed sample is the first five input rows, not a list of every record that will be added. Duplicates can appear in that sample and still be skipped.

Common import errors

  • Column headings do not match: use the supplied template, with no extra unnamed columns or duplicate headings. Spaces in a heading are accepted in place of underscores.
  • Customer not found or ambiguous: import customers first, check the name and add customer_email where needed. IDs from another system do not select customers.
  • Invalid date: use a four-digit year followed by month and day, such as 2026-11-02, rather than 02/11/26.
  • Different number of columns: check commas and quotation marks. Let your spreadsheet software export the CSV rather than adding separators manually.
  • File too large: split it into files within both the record and byte limits.

MMD exports include ID columns, which the importer ignores. They are not a way to overwrite records or restore record IDs. Formula-like text may have a protective apostrophe from a spreadsheet-safe export; review it before importing.

Check one small batch before moving everything

Start with a few active customers and jobs. Open their records, check phone numbers and dates, and make sure you can find the next action. Import only information you need and are entitled to use. Keep your original export until you have checked the move.

Next: record and progress an enquiry, or learn how to download your records again.
