Why Was a Quote Declined? Record Feedback Without Guessing

When a customer decides against a quote, recording “too expensive” is tempting. Unless they actually said that, it is a guess. A small outcome log helps you learn from genuine feedback while leaving unanswered questions open. It cannot tell you why someone stayed silent or prove that changing a price would win the next job.

A declined quote, a postponed project and no reply are different outcomes. Keep the reason tied to its source.

Separate the outcome from the explanation

Start with the quote reference and version, then record what happened: accepted, declined, postponed, withdrawn or no decision known. Choose definitions the team can apply consistently. A quote that has not received a reply is not confirmed lost on price.

Keep a decision date where one is known. If the business closes an inactive enquiry internally, record that administrative decision separately from a customer saying no. This prevents an old queue-cleanup exercise appearing to be a sudden increase in rejected quotes.

Keep customer feedback and interpretation in different fields

Record a concise factual summary of volunteered feedback and where it came from. For example, “customer email says project postponed until next year” is evidence of a stated position. “Probably found someone cheaper” is an internal hypothesis and belongs in a different field, if it is useful at all.

  • Use “reason not provided” when that is all you know.
  • Preserve distinctions between timing, scope, availability and price.
  • Allow more than one stated reason without forcing a false single cause.
  • Keep relevant correspondence linked to the correct quote.
  • Avoid personal judgements about the customer or competitor.

Ask once, neutrally, where a conversation is welcome

Optional wording for an appropriate existing conversation: “Thanks for letting me know. If you are happy to share, was there anything about our quote or process that did not suit what you needed?”

This is a draft to adapt, not an automatic message sequence. Respect a refusal or a request to stop contact. Do not ask someone to justify their choice, argue with their feedback or turn the question into another sales pitch. No reply leaves the reason unknown.

Review comparable quotes and show the unknowns

Choose a defined period and a relevant group of quotes. Show accepted, declined, still pending and unknown-reason records together. Avoid comparing recently issued quotes with older ones that had much longer to receive a decision.

Look for a specific process question: were several customers unclear about what was included, or did your available dates not fit? A handful of answers is a prompt to investigate, not proof of a market-wide pattern. An accepted quote is also not evidence that the job is profitable.

Use the current quote or CRM record first

HubSpot documents a closed lost reason property alongside deal stage information. Check whether your current system has an equivalent field or linked note before buying a separate feedback tool. A field stores the explanation entered; it does not independently verify the cause.

Try one bounded improvement supported by the evidence, such as making inclusions clearer, then review later comparable outcomes. Keep pricing, capacity and commercial decisions with the owner. This guide does not promise a conversion increase or suggest automatically discounting rejected quotes.

Download the working checklist

Download the blank worksheet (CSV). Use fictional details for a trial, then adapt the fields in the system you already maintain. Do not keep a separate spreadsheet just to duplicate a working process. Protect real customer details and share only what the person handling the task needs.
