Supplier Credit Requests: Track the Query Through to Confirmation
A supplier agrees to look into a billing query, but the office still needs to know what happened next. Keep the request connected to the order, bill and eventual response. This guide covers the correspondence and document handover, not entitlement to a refund, tax treatment or instructions to alter the accounts.
Identify the supplier query precisely
Give the query an internal reference and connect it to the supplier’s order, delivery or bill reference as appropriate. State the issue factually: for example, a reported discrepancy needs checking. Do not describe a disputed amount as an agreed credit before the supplier has confirmed its position.
Separate this record from stock levels or technical questions about a product. The person handling administration should not choose a replacement item, authorise a return or agree a commercial settlement outside their authority. Refer those decisions to the responsible person.
Keep the evidence and request together
- The supplier and relevant account or order reference.
- The bill or document being queried.
- A concise description of the reported issue.
- Relevant correspondence and supporting records.
- The specific clarification or action requested.
- The person authorised to decide the business response.
Check the supplier’s supported process for a query or return. Share only relevant records, using the normal business contact route. Avoid sending another customer’s details just because their job shares the same purchase order.
Use statuses that show the next action
Useful positions include query prepared, sent, information requested, supplier reviewing, response received and awaiting bookkeeping review. If the supplier says a credit will follow, record the statement and the follow-up point without marking the financial outcome complete.
Assign one person to obtain missing documents. A diary reminder should ask for the next piece of evidence rather than automatically repeating an accusation. If the supplier disagrees, preserve the response and refer the matter instead of silently changing the requested amount.
Follow a fictional query through the handover
When a document arrives, verify the supplier and references and send it to the authorised bookkeeper with the query context. Do not treat an email promising a refund as proof that money was received or that an accounting entry has been made.
Keep accounting records and supplier evidence distinct
Xero documents viewing and printing supplier credit note records, and explains that its printed transaction copy is distinct from the actual credit note produced by the supplier. Check your tool’s current workflow and retain the appropriate source document through the business’s process.
Close the office query only when the responsible reviewer has confirmed the outcome or recorded why it remains unresolved. A credit document, its allocation and any refund are related but different facts. Existing purchase records and tasks may cover the whole handover; another bespoke tracker is useful only if a specific gap remains.
Download the working checklist
Download the blank worksheet (CSV). Use fictional details for a trial, then adapt the fields in the system you already maintain. Do not keep a separate spreadsheet just to duplicate a working process. Protect real customer details and share only what the person handling the task needs.
